Bookings

Refers to the additional settings available for the configuration and customization of the booking process.

Booking Model

Select the booking model which will be applied to the specific product from the available options:

  • No Confirmation Required

Select this option in instances that availability is in “Real Time”. Therefore, reservations are confirmed automatically upon completion of the booking process by the customer.

Note: The status of the booking will be marked as Confirmed and the customer will receive the equivalent notification.

  • Business Confirmation Required

Select this option if confirmation is required for the successful completion of the booking. In this instance, the confirmation is provided by the business itself (e.g. Hotel, Activity Provider).

Note: The status of the booking will be marked as Pending. Once the business modifies the status to “Confirmed”, the customer will receive the equivalent notification. The business also has the option to cancel the booking or propose alternatives.

  • Supplier Confirmation Required

Select this option if confirmation is required for the successful completion of the booking. In this instance, the confirmation is provided by the allocated supplier.

Note: The status of the booking will be marked as Pending. Once the supplier modifies the status to Confirmed the customer will receive the equivalent notification. The supplier also has the option to cancel the booking or propose alternatives.

  • Supplier Hold

Select this option if a “hold” (or option) is required from the business in order to facilitate the successful completion of the booking.

Usability/Display: This feature provides more flexibility during the booking process between the business and the supplier, providing the business with the luxury of deciding when to proceed with confirming the booking to the supplier. By selecting “Hold”, the supplier essentially indicates that there is availability for the selected service and will hold onto it on behalf of the business. During this period the business can proceed to complete any necessary internal tasks required before committing to the confirmation of the booking.

  • Manual Supplier Allocation

Select this option to manually allocate the “Supplier” or the “Business” to a booking.

Usability/Display: This feature provides more flexibility on the booking process, allowing the business to decide if a booking will be allocated to the business itself or allocated to a specific supplier. The status of the booking will be marked as Pending. Once the supplier or business modifies the status to Confirmed, the customer will receive the equivalent notification. The supplier has the option to accept or reject the booking.

Example: A transfer can be allocated either to the hotel or in case the hotel does not have any vehicles available at that particular date and time, it can be allocated to any of the associated suppliers.

Note: After activating this option, the booking flow must be chosen in order to determine what happens to the booking when a supplier declines:

  • If the supplier rejects the booking, the booking is automatically cancelled.

  • If the supplier rejects the booking, the booking status remains as Pending and the booking returns to the business either to be confirmed by the business or to be allocated to another supplier.

Widget Calendar Display (available only for Experiences)

Select the designated display for the widget calendar from the available options:

  • Default Display: All available dates will be displayed on the widget calendar.

  • Display Checkout date: Only the guest’s checkout date will be displayed on the widget calendar.

    Example: “Late checkout” service.

Important:

For this feature to work, Triparound must be integrated with the hotel’s PMS.


Cut-off Time allowed (available only for Experiences, Restaurants and Services)

Activate this feature in order to stop the booking capabilities on the booking calendar after a specific time period within the day (meaning that the calendar will not show availability for the remainder of the day).

Usability: This feature can be used in cases where the visibility of a booking needs to be limited to a specific time period within the day, after which no bookings will be allowed to be made by customers or/and back-end users.

Note:

This feature can be applied either online to the widget calendar, offline to the back-office booking process or both (online/offline).

  • Cut-Off Time: Select the designated time after which booking capabilities will be stopped on the booking calendar (not showing availability for the remainder of the day).

    Example: If 13:00 is selected, the system will not allow any bookings to be made from 13:00 onwards each day, regardless if time slots/sessions are still available.

  • Usability: Select whether the specific functionality will be applied to online bookings (made through the widget), offline bookings (made through the dashboard BOOK NOW) or both (online/offline).

Note:

If this feature is set online, then it will not be applied to offline/back-office bookings, meaning that back-end users will be able to make bookings from the dashboard BOOK NOW without any restrictions.


Rollover Days allowed (available only for Experiences and Services)

Activate this feature in cases where the visibility of a booking needs to be limited to a specific time period.

  • Rollover Days: Enter the number of days for which the calendar shows availability.

    Example: If the number 20 is entered, the availability shown for the particular experience would be only for the next 20 days.

Important:

Please keep in mind the correlation between the Rollover Days and the Last minute booking.

  • Usability: Select whether the specific functionality will be applied to online bookings (made through the widget), offline bookings (made through the dashboard BOOK NOW) or both (online/offline).

Note:

If this feature is set online, then it will not be applied to offline/back-office bookings, meaning that back-end users will be able to make bookings from the dashboard BOOK NOW without any restrictions.


Expose Resources (available only for Experiences)

This field only appears if resources have been added to the experience.

Activate this option in order to allow the customer to choose a specific resource allocated to the experience.


Expose Operators (available only for Experiences)

This field only appears if operators have been added to the experience.

Activate this option in order to allow the customer to choose a specific operator allocated to the experience.


Multiple Bookings allowed (available only for Experiences, Restaurants and Services)

Activate this option in order to allow the customer to book multiple sessions (hourly and/or daily).

Example: For a tennis lesson the customer may be able to book a session on Monday at 10 a.m. and a second session on Wednesday at 6 p.m.

  • Minimum Number of Bookings: Enter the minimum number of allowed bookings.

  • Maximum Number of Bookings: Enter the maximum number of allowed bookings.

  • Maximum Number of Daily Bookings: Enter the maximum number of allowed bookings per day.

  • Price template: Select the designated template for how the price will be displayed for multiple bookings both on the widget and email notifications:

    • Price Breakdown: Price will be displayed for each session booked (this is the default view).

      Example: If 4 sessions have been booked for a spa treatment, the pricing will be displayed per session (date and time):
      18th January 2021 – 08:00: 1 x Price 50 Euro

      19th January 2021 – 10:00: 1 x Price 50 Euro

      20th January 2021 – 14:00: 1 x Price 50 Euro

      21st January 2021 – 14:00: 1 x Price 50 Euro

    • Price bundle: With the same booking data as above, the pricing for multiple bookings will be displayed in a bundle: 1 x Price 200 Euro (i.e. the total price for all sessions booked: 50+50+50+50 = 200 Euro)

Note:

The pricing template selected will be applied both on the widget, at the checkout stage of the booking process, and in the notification email sent to all involved parties.


Overbookings allowed (available only for Experiences, Restaurants and Services)

Activate this option in order to allow overbookings.

  • Maximum Guests for Overbooking: Enter the number of guests by which the specific session can be overbooked. If you insert “2” then you will be able to overbook the session by 2 guests.

    Example: if an activity has a capacity of 10 guests, and 10 guests have been booked, the system will allow you to book an extra 2 guests, bringing the number of booked guests to 12.


Allow visitors bookings

Activate this option in order for visitors (i.e. non customers/guests) to bypass the validation step and proceed to make bookings for the specific product.

Important:

This feature can only be applied if a PMS integration is activated and the Enable guest validation on widget functionality is also enabled under My Company > Settings > Booking Settings.

Note:

If enabled, this feature allows non customers/guests to skip the validation step on the widget (requiring customers/guests to fill in their First name, Last name and Room number or Reservation Id before being able to proceed to make a booking) and proceed to make a booking.


Waiting list allowed (available only for Experiences, Restaurants and Services)

Activate this option in order to activate the “Waiting List” feature for the specific product. This feature refers to the ability to allow customers to be inserted in a wait list. When “space” becomes available, the business can proceed to book the wait listed customers.

Notes:

  • The Waiting List functionality is available to the users through the Book Now button within the platform, meaning that the Business can insert a customer into the wait list for the selected fully booked time slot.

  • If enabled, the Waiting List functionality will be available through the widget as well, meaning that a customer can enter the wait list for the selected fully booked time slot.

  • Number of participants must always be selected first for the correct availability to be provided.

  • If Overbooking and Waiting List functionality are both enabled, then overbooked bookings will be served first before proceeding to open the wait list.

  • Enabled on widget: Activate this option to enable the waiting list on the widget.

  • Maximum Guests on Waiting List: Enter the maximum number of allowed customers on the wait list.

  • Automatically book waiting list bookings upon cancelations: By enabling the automatic booking of waiting list bookings, empty slots of a session will be automatically appointed to guests in the waiting list. The allocation works on a first come - first served basis based on the date and time of the bookings.


Set daily maximum capacity (available only for Experiences, Restaurants and Services)

Activate this option to set the daily maximum capacity of bookings allowed.

Example: A Restaurant offers 10 sessions (seatings) a day, and each session can accommodate 20 guests - this means that 200 guests can be served each day. However, the kitchen can only feed 180 guests per day. In order to provide customers with a flexible booking calendar, the “Maximum Daily Participants” are set to 180 reflecting the kitchen restriction. This means that regardless of the number of guests booked within each session, the availability will close only once the maximum of 180 guests is reached.

Important:

If activated, this feature will override all other capacities inserted into the system (including waiting list, overbookings, Restaurant capacities and scheduled dependencies)

  • Maximum daily participants: Enter the maximum number of participants that can be booked per day. When the limit is reached bookings will no longer be allowed.


Show product details on widget (available only for Experiences, Restaurants, Rentals and Services)

This option is activated by default to display specific product details added in the Content & Media section on the widget.

Note:

If deactivated, the product details will not be displayed on the widget.


You can preview the product at any point, using the Preview button.


Once you have configured Bookings, you can move on to the Cancellation Policy.
