How to use the Overbooking functionality

The Overbooking feature allows the business to accept more bookings than can be accommodated.

The Overbooking feature enables the business to take on more bookings than its available capacity, offering greater flexibility in managing reservations.

How to set it up

  • Navigate to the Settings & Policies section of the product.

  • Under Bookings, locate the Overbooking feature.

  • To enable the Overbookings feature for the specific product, toggle the setting for Overbookings allowed.

  • Then, complete the fields that will appear:

    Maximum Guests for Overbooking: Specify the maximum number of guests by which a session can be overbooked.

    Example: If you insert β€œ2”, this means you can overbook the session by 2 guests. For instance, if an activity has a capacity of 10 guests and 10 people have already booked, the system will allow you to book 2 more guests, making the total number of guests 12.

Click SAVE once done.


IMPORTANT NOTES:

  • Availability: The Overbooking functionality is only available to the platform users through the dashboard Book Now button. Guests/customers cannot overbook an activity through the widget.

  • Booking process: Ensure the number of participants is selected first to allow the system to provide correct availability.

  • Overbooking visibility: An overbooking is the same as all other bookings and will appear both in the Calendar and in the Booking details.

The Overbooking functionality is useful for Businesses who want to sell more bookings or services than their usual capacity, anticipating that some guests may not show up.

If you prefer not to overbook but still want to give guests the option to sign up when the activity is fully booked, you can enable the Waiting List functionality instead. This allows customers to join a waiting list without actually booking over the capacity. More details can be found here: Waiting List functionality.
