The Accommodation entity allows for efficient management of lodging within an itinerary. It enables the addition, editing, or removal of the accommodation, with customizable details such as dates, selected units and payment methods.
With PMS integration, accommodation data can be populated automatically, streamlining the process and enhancing the overall travel experience.
The Accommodation section includes the following information:
Reservation ID: Shows the ID for the accommodation reservation.
Dates: Shows the customer's arrival and departure dates.
Original Unit price: Shows the original price for the accommodation unit.
Total selling price: Shows the total price for the accommodation unit(s).
Attachments & notes:
Attachments: Refer to the documents added manually to the accommodation reservation.
Notes (Customer notes/ Internal notes): Refer to the notes related to the accommodation reservation that have been added manually.
Important note:
If PMS integration is activated, indicating that the itinerary has been generated automatically, the relevant fields will be populated automatically with the existing information from the PMS.
In this case, the Accommodation section includes information on the below:
Reservation ID: Shows the reservation ID of the accommodation reservation.
Dates: Show the customer's arrival and departure date.
Total selling price: Shows the total selling price of the accommodation unit(s).
Unit(s): Shows the accommodation unit(s) associated with the specific itinerary.
How to add accommodation to an itinerary
To add the Accommodation to the itinerary manually, click on Add Triparound Accommodation.
Then, select an accommodation from the drop down menu and follow the below steps:
Step 1: The stay dates will be populated automatically based on the selections made during the creation of the itinerary. If required, these dates can be edited at this stage.
Note: If the stay dates are edited in the Accommodation section of the itinerary, the itinerary data may need to be updated manually to ensure all dates are consistent.
Once done click APPLY.
Step 2: Select a price from the available pricing options and click APPLY.
Step 3: On the Checkout, the Customer Info is populated automatically based on the data inserted during the creation of the itinerary.
Additionally, Payment method can be selected, and Customer Notes and Internal Notes can be added.
Once done, click BOOK NOW.

Important notes:
If PMS integration is activated, accommodation is populated automatically based on the data coming from the PMS integration.
Only one accommodation item can be included in an itinerary. If an additional accommodation is needed, a separate itinerary must be created.
How to manage accommodation in an itinerary
Changing the reservation status of the accommodation
The status of the accommodation reservation can be changed from within this section. To do so, click on the status menu and select the preferred status.
Editing the accommodation reservation
By clicking on the edit button, the accommodation reservation can be edited in terms of dates (Schedule), accommodation items (Price) and Booking Info - Payment Method, Customer Notes, Internal Notes (Checkout).
Note: Once the Schedule is edited, the Price can also be adjusted. After both the schedule and price have been modified, certain fields on the Checkout step can also be edited.
Adding attachments & notes to the accommodation
Attachments and notes (customer notes/internal notes) can be added by clicking on the relevant action button.
If notes have already been added during the Add Triparound Accommodation process, they can also be edited.
Once done click SAVE AND CONTINUE to continue working on the itinerary.
Attachments can be added by either dragging and dropping files into the designated area or by clicking to upload.
The attachments uploaded may be downloaded or deleted as well.
Viewing the accommodation
By clicking on the information button, a preview of the Accommodation is shown. Information displayed here is configured during the Accommodation product setup.
Additionally, clicking on Details will display extra generic accommodation information, including capacity, number of bedrooms and bathrooms, floor size, available units, and accommodation description. This information is set up during the accommodation product configuration.
Important note:
If PMS integration is activated, any edits to the accommodation reservation and changes to its status can only be made through the PMS, if needed.
How to remove accommodation from an itinerary
To remove the accommodation from the itinerary, it must first be archived. To do so, as a first step, change the status of the accommodation reservation to Canceled.
Once the accommodation reservation is marked as Canceled, the Archive button will be enabled. After the accommodation booking is archived, it will be removed from the itinerary, and the option to add a new accommodation will become available again.
Notes:
Archived accommodation bookings are not visible to customers (i.e. not shown on the email notification, pdfs, Guest app).
Archived accommodation bookings can be viewed by using the "Archived state" filter in the Bookings section of the itinerary.
The Archive action is irreversible.
Important note:
If PMS integration is activated, the accommodation reservation of an itinerary can only be replaced through the PMS, if necessary.
