Email templates enable the creation of reusable sales and marketing emails that can be sent manually to individual customers or automatically based on predefined criteria. They help maintain consistent communication, save time, and allow personalization using customer, itinerary and company data.
Email Templates are available from the left hand-side menu under More > Marketing > Emails.
How to set it up
Click on NEW TEMPLATE on the top right hand-side of the page.
Then, select one of the following options:
A. Structured template
A Structured Template follows a predefined layout and is ideal for creating emails without requiring design or coding skills.
Template name: Enter the name of the email template.
Note: For internal use only.
Email subject: Enter the subject of the email.
Display: This will appear on the subject line of the email.
Email greeting: Enter the generic greeting phrase/word with which the email will begin.
Example: Greetings!
Display: This will be the first sentence that appears in the main body of the email.
Copy system values to add to the email body below: Select from the specified entities (Customer, Itinerary, Company) the system value to be added on the email body.
Usability/Display: System values allow the email to be personalized with customer, itinerary, or company information.
How to use:
Select an entity (Customer, Itinerary, or Company).
Copy the required value from the dropdown list.
Paste it into the email body in the desired position.
Example: Select the “Customer” entity, from the drop-down menu copy the “First Name” and paste the value {{customer.firstName}} into the email body.
Note: The “Itinerary” entity is visible only if this feature is available on your account.
Email body: Enter the main content of the email.
Display: This text will appear after the Email Greeting and before the action button.
Button URL: Insert the link to which the customer will be redirected after clicking the action button.
Recommendation: Use a Triparound widget link (from Booking Buttons > Option 2) or a relevant page from the business website, specifically the page on which the experiences, restaurants etc. are featured.
Button text: Enter the text that will be displayed on the action button.
Display: The action button will appear after the main body of the email.
Email closure: Enter the closing line of the email.
Display: This will be the last sentence that appears under the main body of the email.
SAVE changes once done.

B. HTML template
An HTML Template allows full control over the design and layout of the email using custom HTML.
Template name: Enter the name of the email template.
Note: For internal use only.
Email subject: Enter the subject of the email.
Display: This will appear on the subject line of the email.
Copy system values to add to the email body below: Personalization can be achieved using system values from the Customer, Itinerary, or Company entities, following the same process as in Structured Templates.
Example: Select the “Customer” entity, from the drop-down menu copy the “First Name” and paste the value {{customer.firstName}} into the email body.
Note: The “Itinerary” entity is visible only if the specific feature is available on your account.
HTML Email body: Insert the email content using the HTML source icon <> in the editor toolbar and enter the required HTML code.
SAVE changes once done.

You can preview the Email Template using the Preview button.
Sending the Marketing Email template
Marketing email templates can be sent either manually or automatically, and are accessible from both the Customers and Itineraries sections.
Manual sending (Customers & Itineraries):
Templates can be sent by opening an individual Customer or Itinerary and selecting SEND GUEST EMAIL, or by using the available action within the Actions button located on the respective customer or itinerary table.In both cases the email template selected can also be previewed before sending it to the guest.
A. Through the Customers section:
Option 1: Locate the customer, click on the Actions button - on the right-hand side and click Send Guest Email.
Option 2: Select the customer and then click on one of the two available Send Guest Email buttons.
B. Through the Itineraries section:
Option 1: Locate the itinerary, click on the Actions button - on the right-hand side and click Send Guest Email.
Option 2: Select the itinerary and click on the Send Guest Email button on the top right-hand side of the page.
Automatic sending:
When the Email Automations feature is enabled, marketing email templates are sent automatically based on predefined rules, such as a specific number of days before check-in or after itinerary creation.For additional details, refer to: How to send email templates automatically (Email Automation feature).
