Schedules (Services)

Refers to the allocation of date, time and other information to create a bookable schedule for a particular product.

Schedule(s) must be created/inserted in order to enable the product to be bookable.

Click on Add new to create and add a new Schedule.

Alternatively, if applicable, select from the existing schedules that have already been created.

Then complete the required fields in the Info*, Schedule* and Dependencies* tab. Fields marked with an asterisk * are mandatory and cannot be skipped.


Info*

Complete the required fields (i.e. name, duration, etc.).

Name: Enter the name of the schedule.

Associate with subservice/s*: Connect the schedule to the specific Subservice or Service.

Active: Activate or deactivate the schedule. In order for a schedule to work it needs to be active.

Duration: Enter the duration (in hours and minutes) of the Subservice or Service.

Note:

If left blank (duration is set to 0), then availability will become unlimited meaning that the service can be booked infinite times for the selected time/time slot.

Last-minute Booking: Enter the time frame after which the activity cannot be booked.

Example: If 24 hours are selected, bookings are not permitted less than 24 hours prior to the service's start time.

Note:

This functionality is applied only to online bookings made through the widget. It is not applicable to back-office bookings.

Usability: Select whether the schedule will be available for Online bookings (i.e., customer generated bookings made through the widget), Offline bookings (i.e., back-office bookings made through the dashboard BOOK NOW) or Both (Online/Offline).​

Note:

A schedule that is set offline will not be displayed on the widget and therefore not available for the customer to book.


Schedule *

Complete the required fields (i.e. calendar availability type, time allocation).

Calendar Availability Type: Select between the two available options that apply to the schedule:

1) Season: Define a season by selecting the start and end date.

Example: From June 1, 2022 to October 31, 2022

Days: Select on which days of the week the schedule is to be applied.

2) Fixed Dates: The service is available on specific date(s).

Example: June 1, June 8

Time Allocation: Select among the available options that apply to the schedule:

1) Time Period: Define a time period by selecting the start and end time and indicating the required interval. Example: From 9 a.m. to 5 p.m. every 30 minutes.

24 Hours: This option allows bookings of the Subservice/Service on a 24-hour basis.

First Available Start Time: Select the starting time of the schedule.

Last Available Start Time: Select the last available starting time of the schedule.

Note:

Keep in mind that the designated last available start time is bookable (i.e. if the last available start time is set for 5 p.m., this time slot will also appear on the calendar).

Example: If a service that has a duration of 2 hours is available from 9 a.m. to 5 p.m., the last available start time of the service should be set to 3 p.m. and not 5 p.m.

Interval (in minutes): Enter the time interval (in minutes) at which time slots will be displayed. Example: If 15 minutes is entered, then the service will be available every 15 minutes between the designated First Available Start Time and the Last Available Start Time.

2) Fixed Hours: The service is available on specific time(s).

Example: 9 a.m., 11 a.m., 5 p.m..

Start Times: Select the specific starting time(s) of the schedule.

Example: 08:30, 09:00 etc.

3) Flexible: Define a time period by selecting the start and end time.

Note: There is no specification for interval for this option. The customer will be able to manually select the exact time the particular service is to be executed.

Example: From 9 a.m. to 5 p.m. the customer may manually select 1:21 p.m.

24 Hours: This option allows bookings of the subservice/service on a 24-hour basis.

First Available Start Time: Select the starting time of the schedule.

Last Available Start Time: Select the last available starting time of the schedule.

Note:

Keep in mind that the designated last available start time is bookable (i.e. if the last available start time is set for 5 p.m., this time slot will also appear on the calendar).

Example: If a service that has a duration of 2 hours is available from 9 a.m. to 5 p.m., the last available start time of the service should be set to 3 p.m. and not 5 p.m.

Display on widget

Example: A wake up call set up on a 24-hour basis will allow customers to select the exact day and time on the calendar they wish the particular service to be executed:



Dependencies*

Refers to specific factors that may affect the actual availability of the schedule.

Dependencies vary depending on the product type.

Limitation & Dependencies: Select the appropriate limitation & dependency type that applies to the service from the available options:

  • Dependencies per activity: Availability is limited to the designated number of services/items inserted.

    Example: if 10 is entered, then up to 10 services/items can be booked.

    Note: This option will become available only if the Time Period or Fixed Hours has been selected on Time Allocation.

  • No dependencies: The number of services/items is unlimited.
