Schedule(s) must be created/inserted in order to enable the product to be bookable.
How to use
Click on Add new to create and add a new Schedule.
Then, complete the required fields in the Info*, Schedule* and Dependencies* tab. Fields marked with an asterisk * are mandatory and cannot be skipped.
Alternatively, if applicable, select from the existing schedules that have already been created.
Info*
Complete the required fields (i.e. name, duration, etc.).
Name: Enter the name of the schedule.
Active: Activate or deactivate the schedule. In order for a schedule to work it needs to be active.
Duration: Enter the duration (in hours and minutes) of the experience.
Last-minute Booking: Enter the time frame after which the experience cannot be booked.
Example: If 4 hours are selected, bookings are not permitted less than 4 hours prior to the experience’s start time.
Note:
This functionality is applied only to online bookings made through the widget. It is not applicable to back-office bookings.
Usability: Select whether the schedule will be available for Online bookings (i.e., customer generated bookings made through the widget), Offline bookings (i.e., back-office bookings made through the dashboard BOOK NOW) or Both (Online/Offline).
Note:
A schedule that is set offline will not be displayed on the widget and therefore not available for the customer to book.
Schedule *
Complete the required fields (i.e. calendar availability type, time allocation).
Calendar Availability Type: Select between the available options that apply to the schedule:
1) Season: Define a season by selecting the start and end date.
Example: From June 1, 2022 to October 31, 2022
Days: Select on which days of the week the schedule is to be applied.
2) Fixed Dates: The experience is available on specific date(s).
Example: June 1, June 8
Time Allocation: Select between the available options that apply to the schedule:
1) Time Period: Define a time period by selecting the start and end time and indicating the required interval.
Example: From 9 a.m. to 5 p.m. every 30 minutes.
24 Hours: This option allows bookings of the activity on a 24-hour basis (available only for specific product types).
First Available Start Time: Select the starting time of the schedule.
Last Available Start Time: Select the last available starting time of the schedule.
Note:
Keep in mind that the designated last available start time is bookable (i.e. if the last available start time is set for 5 p.m., this time slot will also appear on the calendar).
Example: If a service that has a duration of 2 hours is available from 9 a.m. to 5 p.m., the last available start time of the activity should be set to 3 p.m. and not 5 p.m.
Interval (in minutes): Enter the time interval (in minutes) at which time slots will be displayed. Example: If 15 minutes is entered, then the service will be available every 15 minutes between the designated First Available Start Time and the Last Available Start Time.
2) Fixed Hours: The experience is available on specific time(s).
Example: 9 a.m., 11 a.m., 5 p.m.
Start Times: Select the specific starting time(s) of the schedule.
Example: 08:30, 09:00 etc.
Dependencies
Refers to specific factors that may affect the actual availability of the schedule. Dependencies vary depending on the product type.
Limitation & Dependencies: Select the appropriate limitation & dependency type that applies to the experience/activity from the available options:
1. Dependencies per activity (Applicable to Experiences)
Availability is limited to the designated number of participants inserted.
Example: If 10 is entered, then up to 10 customers can book the experience.
Maximum Number of participants: Enter the maximum number of participants allowed for the specified experience.
2. Dependencies per resource (Applicable to Experiences, Transfers & Rentals)
Availability is limited to the selected resource(s) and the designated number of participants and available items per resource.
Example: “Boat X” can accommodate up to 15 participants and there is only one boat available.
To add a new resource follow the Resources guide.
Resources: Select the available resource(s) from the list that will be linked to the schedule.
Maximum Number of Participants: Enter the maximum number of participants allowed for the specified resource.
Number of Available Resources: Enter the number of available items for the specified resource.
Note: For the booking process to be completed correctly, the quantity entered must be equal or less than the quantity of resources entered in the Resources section.
3. Dependencies per operator (Applicable to Experiences)
Availability is limited to the selected operator(s) and the designated number of participants per operator.
Example: “Operator 1” can accommodate up to 10 participants.
To add a new operator follow the Operators guide.
Operators: Select the available operator(s) from the list that will be linked to the schedule.
Maximum Number of Participants: Enter the maximum number of participants allowed for the specified experience.
4. Dependencies per supplier (Applicable to Experiences, Transfers & Rentals)
Availability is limited to the selected supplier(s) and the designated number of participants and available sessions per supplier.
Example: Supplier X can accommodate up to 15 participants per tour and performs 2 tours per day.
Suppliers: Select the available supplier(s) from the list that will be linked to the schedule.
Maximum Number of Participants: Enter the maximum number of participants allowed for the specified experience.
Number of Available Sessions: Enter the maximum number of sessions for the specified supplier. “Sessions” refer to the number of times a particular experience can be performed during the designated time slot.
Example: If 2 is entered, this means that there are 2 boats available for a particular experience that begins at 10 a.m. If one boat is fully booked, the second boat will also be available to book at the same time.
5. Dependencies per resource & operator (Applicable to Experiences)
Availability is limited to the combination of selected resource(s) and the selected operator(s). In this case, the designated number of participants for the resource(s) and the operator(s) needs to be defined.
Example: A tennis lesson is offered in “Court 1” with a tennis instructor "Operator 1".
Note: This option provides real time availability for both resource(s) and operator(s).
Resources: Select the available resource(s) from the list that will be linked to the schedule.
Maximum Number of Participants: Enter the maximum number of participants allowed for the specified experience.
Number of Available Resources: Enter the number of available resources for the specified experience.
Operators: Select the available operator(s) from the list that will be linked to the schedule.
Maximum Number of Participants: Enter the maximum number of participants allowed for the specified experience.
6. No Dependencies
The number of participants is unlimited.
