How to manage Itineraries

This section provides an overview of all itineraries along with relevant information, enabling businesses to effectively manage them.

The Itineraries section provides a comprehensive overview of all planned trips, allowing for easy management and organization. By default, itineraries are shown in chronological order based on the created date (Created At).

Table configuration

The Itineraries table displays by default the Trip ID and the itinerary's Status. This table is configurable, allowing additional columns to be added as needed.

To customize the table, click on the cog icon (Configure table columns) on the right-hand side and add/remove the required columns such as Customer name, Trip Start Date and Trip End Date. The order of the columns can also be adjusted.

Once the preferred columns are selected, click OK to save the settings.


Search functionality / Filters

In order to search for a specific itinerary, complete the Name of the itinerary in the available Search field or proceed with an Advanced Search by clicking on the Filters.


Export functionality

Once the required filters have been applied, the respective table can be exported in an excel file by clicking on the Export button.

Important note: The exported excel file is limited to ~1,000 rows.


Status change

The Status of an itinerary can be changed by clicking on its current status.

  • Draft: This status indicates that the itinerary is still being created and is not yet finalized.

  • In Progress: This status signifies that the itinerary is currently being executed or is active.

  • Completed: This status shows that the itinerary has been fully executed, with all related activities successfully concluded.

  • Canceled: This status indicates that the itinerary has been terminated and will not proceed as planned.

Note:

The itinerary statuses Draft / In Progress / Completed are not linked to any specific actions and do not have any consequences when applied. Therefore, they can be selected manually and used to indicate the stage of the itinerary within the execution process. Essentially, these statuses can be used as businesses see fit to complement their operations.

The itinerary status Canceled, if selected will prevent the specific itinerary/trip from displaying in the "My Trips” section of the Guest App.


Actions Button

Through the Actions button within the table the following options are available for a specific itinerary:

  • Assign: Allocate the itinerary to a specific team member or department (platform user) for management.

  • Send Payment Link: Generate and send a payment link to the trip leader for processing payment for all bookings associated with the specific itinerary.

  • Preview Guest App: View a demonstration of the Guest App associated with the itinerary to ensure everything is in order.

  • Delete: Remove the itinerary from the system, which cannot be undone once confirmed.
