How to manage the availability of a product?

Control when and how a product can be booked to keep availability aligned with operational capacity and prevent bookings that cannot be fulfilled.

Triparound provides several ways to manage product availability, depending on the product type and the specific operational requirements.

Availability can be adjusted automatically through schedule dependencies, restricted for specific dates or times using Blocked Days, managed through different schedules and capacities, or controlled through other product-specific settings where available.

These options help ensure that the booking calendar accurately reflects when and under which conditions a product can be booked.

Ways to manage product availability

1. Configure schedule dependencies

Use schedule dependencies to automatically adjust availability based on factors that affect when it can be booked. The available dependencies vary depending on the product type.

2. Use Blocked Days

Use Blocked Days to prevent a product from being booked on specific dates or during specific times. This provides direct control over when a product is unavailable.

3. Create multiple schedules

Create multiple schedules when a product has different availability periods, time slots or capacity requirements throughout the day. This allows each schedule to have its own availability settings and ensures that the booking calendar accurately reflects the product's capacity at different times.

Example: A Kids Club may have a higher capacity during the morning shift and a lower capacity in the afternoon. In this case, two separate schedules can be created, with the appropriate capacity defined for each time period.

4. Use capacities (available only for Restaurants)

For Restaurants, availability can also be controlled through Capacities. Setting capacities helps ensure that bookings remain within the number of guests that can be accommodated for a specific time or period, helping maintain service quality and avoid overbooking.

5. Set a daily maximum capacity

For Experiences, Restaurants and Services, the Set daily maximum capacity setting can be used to limit the total number of participants that can be booked for a product each day.

Example: a Restaurant may have enough seating capacity to accommodate 200 guests across all daily sessions, but its kitchen may only be able to serve 180 guests. Setting the Maximum Daily Participants to 180 prevents additional bookings once the daily limit is reached.

Important:

When enabled, the daily maximum capacity overrides other capacity settings, including waiting lists, overbookings, Restaurant capacities, and scheduled dependencies.

6. Set a cut-off time

For Experiences, Restaurants and Services, the Cut-off Time setting can be used to stop bookings after a specific time of day.

Example: If the cut-off time is set to 13:00, the product will no longer show availability for the remainder of that day, even if time slots or sessions are still available.

7. Limit the booking window with Rollover Days

For Experiences, Restaurants and Services, Rollover Days can be used to control how far into the future availability is displayed on the booking calendar.

Example: Setting Rollover Days to 5 means that availability will be shown only for the next 5 days.

Related availability options

Some product settings affect availability by allowing bookings beyond the standard capacity rather than limiting them:

  • Overbookings allowed - allows a defined number of additional guests to be booked beyond the product's capacity.

  • Waiting list allowed - allows customers to join a waiting list when a selected session is fully booked.
