Managing customer records accurately is essential for delivering a seamless customer experience and maintaining reliable booking data. Occasionally, a booking may need to be associated with a different customer after it has been created.
The Assign another customer functionality helps ensure that booking information remains organized, customer histories stay complete and operational workflows run smoothly.
This functionality allows you to update the customer linked to an existing booking without creating duplicate customer records or affecting the original customer profile. The reassignment is completed in just a few clicks, helping the team keep customer and booking information up to date while reducing manual corrections.
When to use
Use Assign another customer when a booking needs to be linked to a different customer record.
Common scenarios include:
The booking was assigned to the wrong customer
For example, a staff member accidentally selected John Smith instead of Jonathan Smith during the booking process.
A new customer was created due to email unavailability at the time of booking
For example, the customer’s email address was not known during booking creation, so a system-generated or generic email (such as [email protected]) was used. This resulted in a new customer profile being created, with the booking incorrectly linked to that email-based record. Once the correct customer email is known, the booking can be reassigned to the appropriate existing customer.
The customer already exists in Triparound
For example, a booking was created for a new customer profile, but you later discover that the customer already has an existing profile in the system.
Duplicate customer profiles have been identified
For example, a customer was added multiple times using different email addresses and a booking needs to be associated with the correct profile.
A booking was created before the customer account was located
For example, a booking was initially linked to a temporary or incomplete customer record and needs to be reassigned once the correct customer profile is identified.
By assigning the booking to the correct customer, ensures a complete customer history is maintained, improves reporting accuracy and ensures that future communications and bookings are associated with the right profile.
How to use
To use the Assign another customer functionality, follow the below steps:
Step 1: From the left-hand menu, navigate to Bookings.
Step 2: Locate the booking that needs to be updated and click the Product name to open it.
Step 3: On the Customer details tab, click the button next to the currently assigned customer and select Assign another customer.
Step 4: In the pop-up window, search for the customer by entering at least 3 characters of their last name or email address.
Step 5: Select the correct customer from the search results and click Replace customer.
Once completed, the booking will be associated with the selected customer and their details will be displayed on the booking.
Important
The original customer profile remains unchanged.
No duplicate customer records are created during the reassignment process.
Existing customer information is not overwritten.
The booking history remains intact and is transferred to the newly assigned customer profile.
If the original customer profile/record is no longer required, it can be deleted separately.
