Accurate management of booking records is crucial for ensuring a great customer experience and maintaining reliable data. In some cases, a booking may need to be associated with a specific stay or itinerary after it has been created.
The Connect stay/ itinerary to booking functionality improves the accuracy of booking management and minimizes the need for manual corrections.
This functionality allows to associate an existing booking with the correct stay or itinerary, in just a few clicks, without creating duplicate records. This ensures that all related bookings are grouped correctly under the customer journey, maintaining cleaner customer records, booking histories and itineraries while supporting greater data consistency and operational efficiency.
When to use
Use Connect stay/ itinerary to booking when a booking needs to be associated with an existing stay or itinerary after it has been created.
Common scenarios include:
A booking was made without validating the customer
For example, even though guest validation has been enabled in the widget, the customer skips validation and completes the booking by entering manually their details at check-out.
A booking was created via back-office entry without proper customer validation
For example, staff manually create a booking but do not link it to an existing reservation or itinerary, resulting in an unconnected booking record.
A booking was made by a guest staying with a specific customer or participating in their itinerary
For example, John Smith and Anna Patterson are travelling together. Anna completes a spa booking individually, but the booking should be linked to John's stay or itinerary to reflect the full guest experience.
A booking was created before the itinerary was available or assigned
For example, a booking is made before the customer’s itinerary is finalized, and must later be connected once the itinerary is created.
Linking bookings to the correct stay or itinerary ensures a complete customer journey, improves reporting accuracy, and provides better operational visibility across all related bookings.
How to use
To use the Connect stay/ itinerary to booking functionality, follow the below steps:
Step 1: From the left-hand menu, navigate to Bookings.
Step 2: Locate the booking that needs to be updated and click the Product name to open it.
Step 3: In the top-right side of the screen, click Connect stay/itinerary to booking.
Step 4: In the pop-up window, search for the reservation ID or the Trip Name (enter at least 3 characters).
Note: Trip name search is available only for accounts with the Itineraries feature enabled.
Step 5: Select the correct stay or itinerary and click Connect stay / itinerary.
Once completed, the booking will be associated with the selected stay or itinerary.
Important
The booking is linked to the selected stay or itinerary without creating duplicate records.
Existing booking and customer data remain unchanged.
The Itineraries feature (and related functionality) may not be available for all accounts. To enable it, please contact your Customer Success Manager.
