How customers can be validated during the booking process

Learn how customers can be validated during the booking process to create a more efficient user journey.

Leveraging the Triparound guest validation functionality can significantly improve the accuracy and efficiency of the booking process. By automatically populating guest details during reservations, the system reduces the risk of manual input errors and ensures data consistency.

This functionality also enhances the overall guest journey. Since customer PII data at checkout is pre-filled, the booking experience gets simplified, faster and more convenient for guests while reducing administrative effort for staff. The result is a smoother, more efficient process that benefits both the customer and the business.


Ways customers can be validated

There are multiple ways to validate customers/guests during the online or back-office booking process.

Online booking process

Guest validation can be applied online in case PMS integration has been enabled or if the Itineraries feature is available.

1. Guest validation on widget

To activate guest validation on widget, navigate to More > Account > Company Settings > Settings > Booking settings and click Enable guest validation on widget.

2. Guest validation on Guest App

Guest validation can be applied on the Guest App as well. By enabling this, guests can securely access their personal itinerary details and easily complete bookings without entering their PII data in the booking form.

Important:

Guest validation can be applied also in case the Itineraries feature is used.

In this case:

  • The Trip ID, generated automatically when an itinerary is created in Triparound, can be used as a validation parameter.

  • The Reservation ID / Trip ID needs to be selected, as a reservation property field, when configuring the company’s booking settings.

  • Customers need to know their Trip ID in order to successfully pass validation.


Back-office booking process

When making a back-office booking, guests can be validated by using:

1. The BOOK NOW button

In case PMS integration is enabled or the Itineraries feature is used, a search function will automatically appear on the dashboard BOOK NOW button, allowing the user to search for and validate guests.

2. The BOOK FOR GUEST button

The BOOK FOR GUEST button is available within each Customer even without activating PMS integration (available only for specific accounts). This feature enables front office or concierge teams to quickly create bookings for customers using a dedicated BOOK NOW button, with the customer details being automatically prefilled in the booking form.


3. The BOOK FOR ITINERARY button

In case the Itineraries feature is used, bookings can be easily submitted through the BOOK FOR ITINERARY button, found within each specific itinerary. Since the booking is being made within the itinerary, the booking itself is already validated with the specific customer details, meaning that these will be automatically populated in the Checkout step of the booking process.
