How to manage your Customers

This section provides essential information about clientele and allows for the effective creation and management of customer profiles.

The Customers section features a comprehensive list of all customers who have booked products through Triparound, whether online or via the dashboard's BOOK NOW button.

Customers can be found on the left-hand side menu.

To access a specific customer profile, click on their Full Name. In each profile valuable details can be viewed to enhance customer engagement and service.


Table configuration

The Customers table displays by default the customer's Full Name, Email Address, Phone Number and Nationality. This table is configurable, allowing specific columns to be added/ removed as needed - Full Name is mandatory and cannot be removed.

To customize the table, click on the cog icon (Configure table columns) on the right-hand side and add/remove the required columns such as Created Date, Updated Date and Subscribed to marketing communication. The order of the columns can also be adjusted.

Once the preferred columns are selected, click OK to save the settings.


Search functionality / Filters

To search for a specific customer, complete their first name, last name, email address or phone number in the available Search field or proceed with an Advanced Search by clicking on Filters.


Export functionality

The Customers table can be exported by clicking the Export button.

Notes:

  • Two options are provided - Export customer list and Export participant list.

  • Exports are generated in CSV or XLSX (Excel) format.

  • For fewer than 1,000 records, the export is generated and downloaded instantly

  • For more than 1,000 records, ​the relevant file is sent as an email attachment to the registered email address.

Create new customers

To create a new customer click on NEW CUSTOMER on the top right-hand side and fill in the relevant information.

Fields marked with an asterisk (*) are mandatory.

SAVE changes when done.

Alternatively, new customers can be imported in bulk by clicking the Import button.

Download the sample CSV file and fill in the required information. Once completed, upload the file in the designated field.


Actions Button

Through the Actions button within the table the following options are available for a specific customer:

  1. Send Guest App/ Copy Guest App link

  2. Send Guest Email

  3. All bookings PDF

  4. Delete

These actions, along with additional ones, may be performed from within a customer profile as well.


1. Send Guest App / Copy Guest App Link

The Guest App link can be sent via email to an individual customer or copied (to be used as needed). To do so, click on the Actions button next to the customer record and then click Send Guest App or Copy Guest App link.

Alternatively, click on a specific customer Full Name to enter their profile and then click one of the two Send Guest App or Copy Guest App Link buttons.


2. Send Guest Email

An email can be sent to an individual customer through the Actions button by clicking Send Guest Email.

Alternatively, click one of the two Send Guest Email buttons from within a specific customer profile.

Select one of the available email templates and click SEND EMAIL. At this stage, a preview of the email template selected is presented.


3. All bookings PDF

Customer bookings may be exported in PDF: click on the Actions button and select All bookings PDF.

Alternatively, click one of the two available buttons from within a specific customer profile.


4. Delete

To delete a customer, click on the Actions button and then click Delete.

Alternatively, enter a specific customer profile and then click the Delete button.


Customer profile

By entering a specific customer profile, the customer's Guest profile may be reviewed and specific info may be modified in the Edit Info tab. Additionally, the Associations of the specific customer may be reviewed and/ or configured - add co-travelers and/ or link vouchers to customers.

From within a customer profile, users may also perform the actions mentioned above (Send Guest App, Copy Guest App link, Send Guest Email, All bookings PDF, Delete), as well as two additional ones.

Guest Profile

All relevant information about each customer (Nationality, Gender, Email etc.) is displayed on the left-hand side.

Details regarding the customer's Stays, their Bookings and the Last marketing email are also provided.

  • The left-hand side displays information about the customer's identity such as Nationality, Gender, contact details and health related issues. Specific data, among which Nationality and Email, will be automatically populated based on the details entered while making a booking. Other information, like Gender, food allergies and food intolerances, may be completed as needed in the Edit Info tab.

  • Stays: Indicates the specific dates that the guest stayed at the property.

    Note: If PMS integration is enabled, relevant information will be populated automatically. Otherwise, stays can be added manually as required.

  • Last marketing email: Displays information about when the last marketing email was sent to the specific customer.

  • Bookings: Provides information about the experiences or activities the customer has booked, along with the status of these bookings.


Edit Info

Personal information related to the customer (Age, Date of Birth, Dietary Restrictions, Height etc.) can be modified in the Edit Info tab.

Click SAVE once done.


Associations

The Associations tab includes two sections:

  • Co-Travelers

  • Vouchers

Co-Travelers

Information on existing co-travelers (associated with the customer through their itinerary, the online/ back-office booking process - when participant fields are used - or the Triparound Guest App) is displayed in this section. The available table displays their First and Last Name, their Email and Phone Number, while additional information may be reviewed/ added by clicking Actions > Edit.

Co-Travelers may also be added through this section. To do so, navigate to Co-Travelers and click the Add Co-Traveler button.


Vouchers

The vouchers linked to the specific customer are displayed in this section, while new vouchers may also be linked to them by clicking the Link new voucher to guest button.


Additional actions available within a customer profile

Entering a specific customer profile, provides access to the below additional actions:

  • Preview Guest App Link

To do so, click on the respective button available on the top right-hand side.

  • Book for Guest

To book an activity or experience click the BOOK FOR GUEST button on the top right-hand side and follow the standard booking process noting that the customer's details will be automatically filled in during the Checkout step.
