How to create pricing for extra participants

Learn how to create pricing for extra participants.

Pricing for extra participants may be necessary when an experience has a pricing policy for a group of people, while also offering the option to accommodate additional participants at an extra cost.

Example: A sailing tour can accommodate up to 5 participants for a total cost of €1,000 and each additional participant pays €100.

How to set it up

There are two ways to add pricing for extra participants in a product:

1/ Create a separate price

If extra participants have a different pricing policy, a separate price must be created. To do this, proceed to the Pricing section of the specific product and follow the usual steps to create a new Price for extra participants.

Display on widget

Both pricing options (main pricing and extra participant pricing) will be displayed simultaneously on the widget.


2/ Indicate the separate price as an "Extra Participant"

If you prefer, you can specify that the pricing applies to an extra participant. To do so, go to the Info tab of the specific pricing and select "Yes" in the Extra Participant field. This option is available for Experiences, Restaurants and Services product type.

If the pricing for extra participants should be dependent on the main pricing option (meaning the extra participant pricing cannot be selected without the main price being chosen), enable the Has dependencies function in the pricing.

Display on widget

The Extra participant pricing will appear on the widget only after the main pricing option is selected.


Display on dashboard BOOK NOW

Both pricing options (main product pricing and extra participant pricing) will appear on the back-office booking process through the dashboard BOOK NOW button, regardless of whether the Has dependencies function is activated or not.


Example of how to create pricing options for an experience that can accommodate extra participants at an additional cost.

An experience can accommodate up to 10 participants in total. The total cost for up to 5 participants is €700, and each additional participant, up to the maximum of 10, costs €100.

Step 1: Proceed to the product’s About section under Fundamentals and set the Minimum Participants per Booking to 1 and the Maximum Participants per Booking to 10.

Step 2: After setting up all other sections, such as Operators, Resources (if required) and Schedules, proceed to Pricing to create the pricing options:

  • Pricing for the main group

    In this case, the main pricing falls under the Price per guest type pricing model which applies to a "group" of 1 to 5 participants. This needs to be created using the Guest Type functionality.

    To do this, for the example above, select Group as the Category of the Guest type and set the Minimum number of participants to 1 and the Maximum number of participants to 5.

  • Pricing for the extra participants

    Set the Pricing Model to Price per quantity and enter the price associated with each extra participant. In this case, the price is €100.

    Note: Based on the above example, the extra participants pricing will apply to participants 6 through 10.

    Additionally, you can decide whether to activate the Has Dependencies function. When enabled, the extra participant pricing will appear on the widget only after the main product pricing has been selected.

Display on widget

In this example, the first 5 participants will pay a total cost of €700, while each of the 2 extra participants will pay €100. This brings the total cost to €900.
